O módulo de Aquisições do Koha oferece às bibliotecas uma forma de registrar os pedidos de compra/aquisição e gerenciar os orçamentos.

Configurações
Antes de usar o módulo Aquisições, verifique se você concluiu todas as configurações.
Primeiramente, configure as Preferências do sistema de Aquisição e a seção Aquisição no módulo Administração <acquisitions-module-label>`de acordo com o fluxo de trabalho da biblioteca. Antes de definir :ref:`Codificação EAN da biblioteca , você precisará ter incluído os fornecedores.
Na página principal do módulo Aquisição estará a lista dos fundos da biblioteca.
Nota
Se desejar que a linha da tabela correspondente ao Total não apareça, você deve inserir
#funds_total {display:none;}
no campo da preferência do sistema :ref:’IntranetUserCSS’
Para visualizar todos os fundos ativos, marque a caixa ‘Mostre fundos ativos e inativo’.
Para visualizar o histórico de pedidos de um fundo, clique no valor (R$) da coluna Pedido ou Gastos. Após clicar, o sistema fará uma busca de todos os orçamentos pertencentes àquele fundo.

Fornecedores
Antes que qualquer pedido seja feito, você deve primeiro inserir pelo menos um fornecedor.
Adicionar um fornecedor
Para adicionar um fornecedor, clique no botão ‘Novo fornecedor’ na página Aquisição
O formulário para adicionar os fornecedores é divido em três partes:
A primeira seção é para informações básicas sobre o fornecedor
Desses campos, apenas o nome do fornecedor é obrigatório, o restante das informações deve ser adicionado para ajudar na geração de cartas de reclamação e faturas
A segunda seção é para informações sobre seu contato no escritório do fornecedor
Nenhum dos campos são obrigatórios. Eles podem ser preenchidos caso deseje organizar e armazenar as informações de contato do fornecedor.
Contato principal: marque esta caixa se esta pessoa é seu contato principal com o seu fornecedor.
Contato principal para periódicos: marque esta caixa se esta pessoa é seu contato principal com o seu fornecedor de periódicos.
Entrar em contato ao realizar um pedido? marque esta caixa se você deseja enviar seus pedidos por e-mail diretamente para essa pessoa.
Entrar em contato sobre pedidos atrasados? marque esta caixa se você deseja enviar suas reclamações sobre pedidos atrasados por e-mail diretamente para essa pessoa
Entrar em contato sobre fascículos atrasados? marque esta caixa se você deseja enviar suas reclamações sobre fascículos atrasados por e-mail diretamente para essa pessoa
Você pode adicionar mais de um contato por fornecedor, basta clicar no botão ‘Adicionar outro contato’
A última seção dedica-se a informações sobre o faturamento.
Para poder fazer pedidos a um fornecedor é necessário selecionar a caixa ‘Ativo’
Para lista de preços e faturas, escolha a moeda
As moedas são atribuídas na seção : ref: Moedas e taxas de câmbio <currencies-and-exchange-rates-label> no módulo Administração
Se sua biblioteca possuir obrigações tributárias, maque Sim
Marque se sua Lista de Preços e/ou Preço da Fatura incluem impostos
Se o fornecedor oferece um desconto, digite no campo ‘Desconto’.
Você pode inserir um desconto específico para um exemplar, ao fazer o pedido.
Insira a taxa de imposto, se a biblioteca possui cobrança de impostos em seus pedidos.
Se você possuir uma estimativa do tempo para entrega pelo o fornecedor, insira o tempo de entrega. Desta forma, o Koha poderá estimar quando o pedido chegará à biblioteca ao gerar o relatório de pedidos.
As notas são para uso interno
Visualizar/Editar um fornecedor
Para visualizar a página de informações de um fornecedor, você deve procurar o fornecedor na página inicial do módulo Aquisição. Sua pesquisa pode utilizar qualquer parte do nome do fornecedor
Nos resultados, clique nome do Fornecedor que você deseja visualizar ou editar.
Para alterar as informações do fornecedor, basta clicar no botão ‘Editar fornecedor’.
Se o fornecedor não possui pedidos vinculados, então o botão ‘Excluir fornecedor’ ficará visível e será possível exclui-lo. Caso contrário, o botão que estará visível será o ‘Receber remessa’.
Contratos do fornecedor
Você pode definir contratos (com data de início e fim) e vincular a um fornecedor. Este recurso possibilita que você estime quanto foi gasto em um contrato com o fornecedor. Em alguns lugares, contratos são configurados para um gasto máximo e mínimo por ano.
Adicionar um contrato
No topo da página de informação do Fornecedor, você verá o botão ‘Novo Contrato’.
O formulário do contrato solicitará algumas informações muito básicas sobre o contrato
Importante
Você não pode entrar em um contrato retrospectivamente. A data final não deve ser anterior à data de hoje.
Quando o contrato for salvo, ele aparecerá abaixo das informações do fornecedor.
Também será uma opção ao criar uma Cesta de compras
Gerenciar sugestões de compra
As sugestões de compra podem ser geradas de duas maneiras. Você pode criar sugestões por meio da interface administrativa para a biblioteca ou em nome do usuário a partir do registro. Dependendo das suas configurações na preferência do sistema suggestion, os usuários também podem fazer sugestões de compra pelo OPAC.
Nota
Você precisa estar logado na interface administrativa e ativar a : ref: permissão de aquisição <granular-acquisitions-permissions-label> suggestions_manage (gerenciar sugestões) para visualizar e trabalhar com sugestões de compra.
Quando uma sugestão estiver aguardando a revisão da biblioteca, ela aparecerá na página inicial do módulo Aquisição ao lado da pesquisa do fornecedor.
Também aparecerá no painel principal da interface admnistrativa, abaixo dos módulos:
Ao clicar em ‘Gerenciar sugestões’ você será levado a ferramenta de gerenciamento de sugestões. Se não existirem sugestões pendentes você poderá acessar a ferramenta de gerenciamento de sugestões clicando no link ‘Gerenciar sugestões’ no menu a esquerda na página de Aquisições.

You can customize the columns of this table in the ‘Table settings’ section of the Administration module (table id: suggestions).
Suas sugestões serão organizadas em três categorias: Aprovado, Pendente e Rejeitado. Cada sugestão aprovada ou rejeitada terá o nome do funcionário que analisou a sugestão e a razão para aprovar ou rejeitar (encontrada em ‘Status’).
Uma sugestão com o status ‘Aprovado’ é aquela que foi marcada como aceita pela biblioteca, por meio do formulário localizado abaixo das sugestões. Uma sugestão com o status ‘Pendente’ é aquela que está aguardando uma ação da biblioteca. Uma sugestão com o status ‘Ativo’ é aquela que foi marcada como ‘Ativo’, via formulário, abaixo das sugestões. Uma sugestão com status ‘Pedido’ é aquela que foi incluída a um pedido de aquisição, este status só é possível quando se utiliza a opção ‘Adicionar sugestão ao pedido <#orderfromsuggestion>`__’ a partir de uma sugestão, ao realizar um pedido de aquisição. Uma sugestão com o status ‘Rejeitado’ é aquela rejeitada pela biblioteca
Para bibliotecas com muitas sugestões, há filtros no lado esquerdo da página ‘Gerir sugestões’ para ajudar a limitar o número de títulos exibidos na tela.
Clicando nos cabeçalhos azuis irá expandir as opções de filtragem e clicando ‘[limpar]’ irá eliminar os filtros e exibir todas as sugestões.
Nota
A página de sugestões será automaticamente limitada para sugestões de sua biblioteca. Para ver informações para todas as biblioteca (ou qualquer uma delas) clique em filtro de ‘Informações de aquisições’ altere a biblioteca.
When reviewing ‘Pending’ suggestions you can choose to check the box next to the item(s) you want to approve/reject and then choose the status and reason for your selection.
As razões para aceitar ou rejeitar as sugestões estão definidas no valor autorizado SUGGEST.
Se você selecionar ‘Outros…’ como uma razão, surgirá um campo de texto para você digitar o motivo. Clicando ‘Cancelar’ no lado direito da caixa irá trazer uma lista com as razões pré-definidas.
You can also change the item type of the suggestions by selecting them and choosing the new item type in the ‘Update item types with’ drop down menu.
You can also change the manager of the selected suggestions by clicking the ‘Select manager’ link and searching your user database. Note that only users who have the ‘superlibrarian’ or the ‘suggestions_manage’ permission will show in the results. The new manager will receive the NOTIFY_MANAGER notice.
You can also choose to completely delete the selected suggestions by clicking the ‘Delete’ button in the the ‘Delete selected’ box.
Uma outra opção para bibliotecas com uma longa lista de sugestões é aprovar ou rejeitar sugestões uma a uma clicando no título da sugestão para abrir a página de edição da sugestão.
Clicar em “editar” à direita do título sugerido ou na parte superior da página de detalhes da sugestão abrirá uma página de edição de sugestões.
Neste formulário você pode fazer editar as sugestões (adicionando mais detalhes ou atualizando informações incorretas fornecidas pelo usuário). Você também pode optar por aceitar ou rejeitas a sugestão.
Marcar uma solicitação como ‘Pendente’ fará com que o solicitação volte para a aba ‘Pendente’.
Você também pode atribuir essa sugestão a um fundo.
Esta edição pode acionar um aviso (definido na ferramenta : ref: Avisos e recibos <notices-and-slips-label> com a notificação TO _PROCESS <#toprocessnotice> __) para o proprietário do fundo, que há uma sugestão pronta ser gerenciada, se você ativou a tarefa : ref: cron job para gerar esses avisos <cron-email-suggestions-to-process-label>.
Ao clicar em Enviar, as sugestões serão transferidas para a tabela de sugestão de aquisição. O status será atualizado na conta do usuário (no OPAC) e um:ref:e-mail <notices-&-slips-label>, também, será enviado ao usuário. (Lembrando que o e-mail eviado será aquele escolhido no módulo Ferramentas)
Once the suggestion has completed the acquisitions process, it is possible to archive it by clicking the small arrow next to the ‘Edit’ button and choosing ‘Archive’. This will remove it from the search results. If you have a lot of suggestions, and the page takes a long time to load, archiving old suggestions will improve the performance.
Efetuar um pedido
Para fazer um pedido, você deve primeiro procurar o fornecedor ou livreiro para o qual deseja enviar o pedido.
Importante
Se você planeja usar o EDIFACT para enviar seu pedido, precisará primeiro configurar : ref: Contas EDI e : ref:` EANs <library-eans-label> ` da biblioteca.
Criar uma cesta
Nota
Se você estiver usando o EDI para fazer pedidos, recomenda-se fazer o download dos registro do pedido do fornecedor antes de iniciar o processo no Koha.
Para criar uma cesta, você deve primeiro procurar o fornecedor do qual está comprando:
E clique no botão ‘Nova cesta’ à direita do nome do fornecedor.
Nota
Você também pode adicionar a uma cesta existente, clicando na seta, ao lado do botão ‘Visualizar’ ,na extremidade direita das informações de cada cesta, na tabela de resultados, e escolhendo ‘Adicionar à cesta’.
Depois de clicar em ‘Nova cesta’, você será solicitado a inserir algumas informações sobre o pedido:
Quando adicionar um grupo de pedidos, você pode dar-lhe um nome que o ajudará a identificá-lo posteriormente
Digite o local de cobrança e o local de entrega (o padrão será a biblioteca na qual você está conectado)
Caso você queira trocar o fornecedor do qual você está fazendo um pedido, você pode utilizar o menu suspenso de fornecedores
Os campos de notas são opcionais e pode conter qualquer tipo de informação
If you’re ordering standing items (items which arrive regularly) then you will want to check the ‘Orders are standing’ box for this basket.
Note that any one basket cannot contain both firm and standing orders.
You can choose to create items either upon placing the order, upon receiving the order, or upon cataloging the item. If you choose an option other than the default, it will apply only to this basket. The default is set by the AcqCreateItem system preference.
Se :ref:`contratos <add-a-contract-label>`foram adicionados ao fornecedor, também haverá a opção de escolher sob qual contrato a biblioteca está adquirindo estes exemplares.
When finished, click ‘Save’.
Once your basket is created, click on ‘Add to basket’ you are presented with several options for adding items to the order.
Order from an existing record
Se você estiver fazendo o pedido para um novo exemplar de um registro que já existe, você pode simplesmente buscar pelo registro em seu sistema.
Nos resultados, clique em ‘Adicionar pedido’ para ser direcionado ao formulário de pedido.
A partir da visualização detalhada do registro, você pode clicar em ‘Adicionar pedido’.
Você será direcionado ao formulário de pedido.
Todos os detalhes associados ao exemplar também serão listados em ‘Detalhes do catálogo’
Pedido a partir de uma sugestão de aquisição.
Se você permitir que usuários façam sugestões de aquisição (saiba mais em Gerenciamento de Sugestões na seção específica deste manual), então você pode fazer pedidos a partir dessas sugestões. Para acompanhar as sugestões que você já tenha solicitado aquisição e/ou tenha recebido, você precisa fazer o pedido utilizando este link.
Importante
As sugestões precisam ser aceitas antes que se realize o pedido.
Na tela de resultados, clique em ‘Pedido’ ao lado do item que você deseja encomendar e você será direcionado ao formulário de pedidos, incluindo um link para a sugestão
A partir deste formulário você pode realizar alterações no detalhes do catálogo se necessário.
Quando o exemplar aparece no seu grupo de pedidos, ele inclui um link para a sugestão.
Pedidos adicionados desta forma notificarão os usuários, por e-mail, que foi realizado o pedidos de compra das suas sugestões (com a ‘ORDERED’ mensagem no módulo ferramentas > Mensagens e avisos) e o pedido também atualizará a página ‘Suas sugestões de aquisição’ no OPAC.
Pedido de uma assinatura de periódico
Se você utilizar módulo Periódicos você pode vincular as assinaturas ao módulo Aquisições, para criar pedido de compra a partir de uma assinatura, clique na opção “De uma assinatura”
Depois de clicar no link de ordem que você será levado a uma página de pesquisa que irá ajudá-lo a encontrar a sua assinatura
Aparecerá seus resultados à direita do formulário Cada assinatura e terá um link ‘Ordem’ à direita
Clicando “Ordem” vai trazer a informação de inscrição para o formulário de pedido sem uma secção de ‘Adicionar item de ‘ já que você está apenas encomendar uma assinatura e um item não é necessário
Pedido a partir de um novo registro bibliográfico
Para fazer um pedido com base em um registro bibliográfico inexistente, selecione ‘A partir de um novo registro (vazio)’
Você será levado a um formulário em branco para preencher os detalhes necessários sobre o exemplar que está solicitando.
Nota
Se o formulário padrão não possuir os campos de catalogação necessários para fazer um pedido, ative a preferência UseACQFrameworkForBiblioRecords o que permitirá que você customize a planilha ACQ MARC framework para exibição dos campos ao fazer o pedido.
Duplicar pedido (pedido a partir de outro pedido)
Você pode duplicar um pedido existente escolhendo a opção ‘A partir de um pedido exsitent (cópia)’.
You will be presented with a search form to search your existing orders.
Check the boxes next to the order(s) you want to duplicate.
Pedido de uma fonte externa
Se você deseja procurar em outras bibliotecas por um exemplar para aquisição, você pode usar a opção ‘De uma fonte externa’, que permitirá criar pedidos com base em registros MARC encontrados em uma busca via protocolo Z39.50.
A partir dos resultados, clique no botão ‘Pedido’ ao lado do item que você deseja comprar.
Se o item que você está solicitando de uma fonte externa parecer duplicado, o Koha o alertará e fornecerá opções sobre como proceder.
No aviso, você pode optar por solicitar outra cópia no registro bibliográfico existente, criar um novo registro bibliográfico ou cancelar o pedido deste item.
No formulário de pedido que surgir você não poderá editar detalhes do catálogo.
Encomendar a partir de um novo arquivo
Se o fornecedor enviar um arquivo de registro bilbiográfico (por exemplo um arquivo no formato .mrc), você pode adicionar esse registro ao catálogo. Escolha a opção ‘A partir de um novo arquivo’.
Nota
Observe que você precisa da permissão da ferramenta stage_marc_import para adicionar um novo arquivo.
Você será direcionado Tratamento MARC para importação no módulo Ferramentas. Prepare seu arquivo conforme descrito nessa seção.
Depois que os arquivos são importados, você pode clicar no botão “Adicionar arquivos importados à cesta”.
Ao lado de cada título, há uma caixa de seleção, marque os itens que você deseja solicitar ou escolha ‘Selecionar tudo’ na parte superior. Dependendo das suas configurações na preferência de sistema :ref:`MarcFieldsToOrder, o Koha preencherá a próxima tela com a Quantidade, Preço, Fundo, Estatística 1 e Estatística 2 encontrados no arquivo importado.
Na aba ‘Informação do item’, você pode inserir as informações que serão adicionadas a cada item solicitado, como tipo de item, código de coleção e o status de disponibilidade.
Caso nenhuma informação relacionada ao valor seja importada do registro MARC, a aba ‘Detalhes da conta’ pode ser utilizada para nformar valores relacionados a compra.
Pedido a partir de um arquivo importado
Essa opção é igual à anterior, mas, nesse caso, seu arquivo já foi preparado para importação. Se você optar por ‘pedir a partir de um novo arquivo’ ou ‘pedir a partir de arquivo já preparado para importação’ dependerá do seu fluxo de trabalho de aquisições ou de suas permissões.
Depois de clicar em ‘De um arquivo importado’, você obterá uma lista de todos os arquivos importados no sistema.
Na lista de arquivos apresentados, clique no botão ‘Adicionar pedidos’ para adicionar os registros no arquivo temporário ao seu pedido.
Ao lado de cada título, há uma caixa de seleção, marque os itens que você deseja solicitar ou escolha ‘Selecionar tudo’ na parte superior. Dependendo das suas configurações na preferência de sistema :ref:`MarcFieldsToOrder, o Koha preencherá a próxima tela com a Quantidade, Preço, Fundo, Estatística 1 e Estatística 2 encontrados no arquivo importado.
Na aba ‘Informação do item’, você pode inserir as informações que serão adicionadas a cada item solicitado, como tipo de item, código de coleção e o status de disponibilidade.
Caso nenhuma informação relacionada ao valor seja importada do registro MARC, a aba ‘Detalhes da conta’ pode ser utilizada para nformar valores relacionados a compra.
Encomendar os títulos com maiores taxas de reservas
A última opção para realizar um pedido é com base na lista de títulos com maior taxa de reservas
Essa opção o levará ao relatório de taxa de rexervas, onde é possível encontrar itens com uma alta taxa de reservas e solicitar cópias adicionais. Ao lado de cada título, haverá um botão com o número de itens a serem solicitados, clique nele e o item será adicionado à sua cesta.
Com qualquer uma das opções de ordenação acima, você terá uma opção para notificar os usuários sobre o novo item quando ele for recebido. O conteúdo dessa notificação pode ser editado na ferramenta :ref: Notices & slips e terá o código de ACQ_NOTIF_ON_RECEIV. Na seção “Usuários”, você verá uma opção para “Adicionar usuário”. Clique nesse botão para adicionar usuários que serão notificados sobre o novo problema.
Pesquisar usuário(s) para notificar:
Na janela exibida, pesquise os usuários que você deseja notificar e clique em ‘Adicionar’
Assim que estiver pronto, você pode fechar a janela e você verá a lista de clientes sob a seção ‘’ Patronos
Após coletar as informações do registro (para todos os métodos de pedido, exceto os arquivos preparados), se a sua preferência do sistema : ref: AcqCreateItem estiver configurada para adicionar um item ao fazer o pedido, você irá inserir as informações do item a seguir. Você precisa preencher pelo menos um registro de item e clicar no botão ‘Adicionar item’ na parte inferior a esquerda do formulário do item.
Depois de clicar no botão ‘Adicionar item’ abaixo do registro do item, o item aparecerá acima do formulário e, em seguida, você poderá inserir o próximo item da mesma maneira (se estiver solicitando mais de um item).
Se você estiver solicitando vários itens, poderá clicar em ‘Adicionar vários itens’ em vez de adicioná-los um a um. Preecha quantos itens você deseja adicionar, digitando o número na caixa e clique em ‘Adicionar’.
Quando você tiver adicionado a informação sobre o exemplar, você precisará adicionar a informação sobre a conta.
A quantidade é definida a partir do número de exemplares que você adicionou no pedido acima.
Importante
If the item is created upon ordering, you will not be able to edit the quantity manually, you must click ‘Add item’ below the item form to add as many items as you’re ordering.
A lisya de fundos é preenchida com os fundos que você incluiu na seção de aquisição no módulo Administração.
The currency pull down will have the currencies you set up in the Acquisitions administration area.
O preço do fornecedor é o preço anterior a impostos ou descontos.
If the price is uncertain, check the uncertain price box.
Nota
Um cesto com pelo menos um valor incerto não pode ser fechado.
If you are charged sales tax, choose that from the ‘Tax rate’ field. This field is populated by the gist system preference.
Digite a porcentagem de desconto que você recebeu neste pedido, uma vez feito isso, clique na aba e o Koha preencherá os campos de custo abaixo.
Retail price is the recommended retail price (RRP), the price set by the publisher or the manufacturer as a recommendation to booksellers.
Replacement cost is the price it will cost to replace the item. This is the price charged to the user when an item is declared lost (if the WhenLostChargeReplacementFee system preference is set to ‘Charge’).
Budgeted cost is the amount that will be removed from the ‘spent’ budget. Whether this number includes or excludes taxes will depend on the ‘List price’ setting for your vendor.
Total is the budgeted cost multiplied by the quantity of items ordered.
You can add an internal note. This will only appear in the acquisitions module and in the staff interface catalog, under the ‘Acquisitions details’ tab in the detailed record.
You can also add a vendor note. This will appear in the acquisitions module as well as on the order when exported as CSV.
If you added statistical categories when creating the Fund, those values will appear in the two statistics fields.
Once you have filled in all of the fields click ‘Save’ to add the item to your basket. If your price goes over the amount available in the fund you will be presented with a confirmation.
The confirmation warning will allow you order past your fund amount if you so choose.
After an item is added to the basket you will be presented with a basket summary.
Nota
You can customize the columns of this table in the ‘Table settings’ section of the Administration module (table id: orders).
Aqui, você pode editar ou remover exemplares que tenha adicionado.
Choosing to ‘Cancel the order’ will delete the order line but leave the record in the catalog.
Choosing to ‘Cancel order and delete catalog record’ removes both the order line and the record in the catalog.
O registo do catálogo nem sempre pode ser excluído. Você pode ver as notas que explicam porquê.
On the summary page, you also have the several option through the buttons at the top of the basket header.
Edit basket: edit the basket information, such as the name or the billing place.
Delete this basket: if the basket is empty, you will get a simple confirmation message before deleting the basket. If the basket contains orders, you will get a confirmation message with several options.
Delete basket and orders: this will delete the basket, cancel the orders, refund the used funds, and delete the items (ordered or received).
Delete basket, orders, and records: this will delete all of the above plus the bibliographic records associated with the orders (except the ones which can’t be deleted because they have remaining items, orders or subscriptions attached).
Close this basket: closing the basket will enable you to add it to a basket group (this is optional) and receive its items.
Export as CSV: this will create a CSV file with all your orders from this basket. You can add several CSV profiles options by going to the CSV profiles tool.
E-mail order: this will send the order information to your contact for this vendor. Make sure your contact has a email address in the vendor profile.
If you’re using EDI for your order you can click the ‘Create EDIFACT order’ button when you’re done to send the file to the vendor and close the basket.
Quando você tiver completado seu pedido, você pode clicar em ‘Fechar pedido’ para indicar que este pedido está terminado e que foi enviado ao fornecedor.
Importante
You must close the basket to be able to receive items when they arrive. Only items in closed baskets will show as ready to receive.
If you have your BasketConfirmations preference set to show a confirmation, you will be asked if you are sure about closing the basket.
When closing the basket you can choose to add the basket to a group for easy printing and retrieval. If you check the box to ‘Attach this basket to a new basket group’ you will be brought to the group list where you can export a PDF of the order.
Importante
A basket with at least one item marked as ‘uncertain price’ will not be allowed to be closed.
Clicking the ‘Uncertain prices’ button will call up a list of items with uncertain prices to quick editing. From that list, you can quickly edit the items by entering new prices and quantities.
Importante
The Uncertain prices page is independent of the basket. It is linked to the vendor so you will see all items on order with uncertain prices for that vendor.
Once your order is entered you can search for it through acquisitions or view the information on the biblio detail page in the staff client (if the AcquisitionDetails preference is set to ‘Display).
Criar um grupo de cestos
A basket group is simply a group of baskets. In some libraries, you have several staff members that create baskets, and, at the end of a period of time, someone then groups them together to send to the vendor in bulk. That said, it is possible to have one basket in a basket group, or no basket groups at all if that’s the workflow used in your library.
To create a basket group, go to the vendor detail page and click on the ‘Basket groups’ tab on the left side.
Click on the ‘New basket group’ button.
Basket group name: this is the name the basket group will go by in Koha
Billing place: this is the billing address that will appear on the basket group order
Delivery place: pick a library where these orders should be sent, this will appear on the basket group order under delivery address You can also enter a different address
Delivery comment: this comment will appear on the basket group order
Close basket group: if you know that once you’re done with this basket group, you will not be modifying it anymore, you can close it right away
Drag the ungrouped baskets to the ‘Baskets in this group’ box to add baskets to the basket group.
Click on ‘Save’ to finish creating your basket.
From there, you can export your order as a PDF file to send to your vendor.
Receiving orders
Importante
You must close the basket to be able to receive items when they arrive. Only items in closed baskets will show as ready to receive.
Orders can be received from the vendor information page
or the vendor search results page
After clicking ‘Receive shipment’ you will be asked to enter a vendor invoice number, a shipment received date, a shipping cost and a fund to subtract that shipping amount from.

If you have a lot of orders, you can filter the orders using the ‘Filter’ box on the left, the ‘Search’ box just above the table, of the filter boxes at the top of each table column.
You could, for example, scan the ISBN of the book you are receiving in the filter box and the table will only show the corresponding orders.
Just make sure to clear the filter boxes when you’re done, otherwise, the other items won’t appear.

Depending on when you chose to create the item (either in the AcqCreateItem system preference, or upon creating your basket), the form will look slightly different.
If you chose to create your item when placing the order, you will have your item information on the left side and financial information on the right side.
You can check the box next to the item to receive it, or fill out the ‘Quantity received’ field on the left side.
Note You can choose to mark only part of the order as received if he vendor didn’t send your entire order by checking only the boxes next to the items on the left that you want to receive or by entering the right amount in the ‘Quantity received’ field.
You can edit the item if needed by clicking on the ‘Edit’ link. This will allow you to enter in accurate call numbers and barcodes if you’d like to do that at the point of receipt.
You can also alter the cost information (replacement cost and actual cost). The values you enter there will automatically populate the item record by filling in subfield v (Cost, replacement price) and subfield g (Cost, normal purchase price) on the item record after saving.
If you chose to create your item when receiving the order, you will see the item creation form on the left side and the financial information on the right side.
Important You must fill out the item form and click on ‘Add item’ or ‘Add multiple items’ in order to receive the order. You will not be able to simply change the ‘Quantity received’ amount.
You can alter the cost information (replacement cost and actual cost). The values you enter there will automatically populate the item record by filling in subfield v (Cost, replacement price) and subfield g (Cost, normal purchase price) on the item record after saving.
Finally, if you chose to create your item when cataloging the record, you will only see the financial information on the right.

Note The financial information will not be transferred to the item if the item is created when cataloging.
Once you have made any changes necessary (to the order and/or items, click ‘Save’ to mark the item(s) as received.
Nota
If you have your AcqItemSetSubfieldsWhenReceived preference set to add or change values on received items those changes will take place after you hit ‘Save’.

Received orders will have ‘(received)’ before the title in the basket view.
Note When all the orders in a basket have been received, the basket will be removed from the list of baskets for that vendor. You can click ‘Show all baskets’ to view the inactive baskets.
Transferring orders
If the item is no longer available from this vendor you can transfer the order to another vendor’s basket by clicking the ‘Transfer’ link to the right of the title. This will pop up a vendor search box.
From the results you can click ‘Choose’ to the right of the vendor you would like to reorder this item from.
You will then be presented with the open baskets for that vendor to choose from. To move the item simply click ‘Choose’ to the right of the basket you would like to add the item to.
Once you have chosen you will be presented with a confirmation message.
You will see transferred orders when viewing the basket.
Cancelling orders
If the item cannot be found anywhere you can cancel the order by clicking ‘Delete order’ to the far right. This will prompt you to enter your reason and confirm cancellation.
You will also see that the item is cancelled if you view the basket.
Nota
Whilst it is possible to re-open your basket, cancel one or more orders and re-close the basket, this is not recommended. This procedure will update the ‘basket closed’ date, which in turn will cause your ‘late order’ calculations to be incorrect.
Nota
You cannot re-open a basket that is attached to a basket group. The re-open basket button will be greyed out.
Faturas

From the ‘Actions’ button, you can click the ‘Details’ link to see the full invoice or ‘Close’ to note that the invoice is closed/paid for.
In the Adjustments section, you can add adjustments to your invoices. These adjustments can be for adjusting the price that is offset by rounding or adding a credit to the invoice, for example.

Choose a reason, if needed

The reasons are authorized values. Use the category ADJ_REASON to add custom reasons for adjustments.

Choose the fund from which the adjustment amount should be taken
If ‘Encumber while invoice open’ is checked, the amount of the adjustment will be taken out of the fund immediately. If it isn’t checked, the amount will be subtracted only when the invoice is closed.
Click on ‘Update adjustments’ to save your adjustments
If you need to change the adjustment afterwards, you can do so in the table and click on ‘Update adjustments’.
Attaching files to invoices
If you’re allowing the uploading of acquisitions files with the AcqEnableFiles preference you will see the option to manage invoice files next to the link to ‘Go to receipt page’
To see or attach new files click the ‘Manage invoice files’ link
From here you can find a file to upload and/or see the files you have already attached.
Merging two invoices
From the invoice search results you can also merge together two invoices should you need to. Simply click the checkbox to the left of the invoices you would like to merge and click the ‘Merge selected invoices’ button at the bottom of the page. You will be presented with a confirmation screen:
Click on the row of the invoice number you would like to keep and it will be highlighted in yellow. Enter any different billing information in the fields provided and click ‘Merge’. The two invoices will become one.
Claims and late orders

Upon clicking on the link to ‘Late orders’ from the Acquisitions page you will be presented with a series of filter options on the left hand side. These filters will be applied only closed baskets.

To the right of each late title you will be see a checkbox. Check off the ones you want a claim letter sent to and click ‘Claim order’ at the bottom right of the list. This will automatically send an email to the vendor at the email address you have on file.

The estimated delivery date is based on the delivery time value entered on the vendor record.
If you would rather use a different acquisition claim letter (other than the default) you can create that in the notices module and choose it from the menu above the list of late items.
Acquisition searches
At the top of the various Acquisition pages there is a quick search box where you can perform either a Vendor search or an Order search.
In the Vendor search you can enter any part of the vendor name to get results.
Using the Orders search you can search for items that have been ordered with or without the vendor.

Budget/fund tracking
On the main acquisitions page there will be a table showing you all of your active funds and a breakdown of what has been ordered or spent against them.
Clicking on the linked amounts under spent or ordered will show you a summary of the titles ordered/received on that budget.
EDI process
Previous sections explain all ordering options, this section pulls out the parts related to EDI or EDIFACT ordering to help those who are only using EDI for ordering.
Importante
Koha uses the EDIFACT standard not the X12 standard for electronic ordering.
EDI questions for vendors
You will want to gather the following information from your vendors before beginning the set up process in Koha.
EDI accounts: This is the basic connection information for your vendor. This will be used to fill in the :ref:`EDI accounts` section.
Vendor: The name of the vendor
Description: A short description if additional explanation is needed ( especially if you have multiple accounts for one vendor ).
Transport: Does the vendor transmit EDI files via FTP, SFTP, or something else the requires special processing?
Remote host: The URL or IP address of the FTP/SFTP server
Username: The username for the above server
Password: The password for the above server
Download directory: The path on the server that contains files for Koha to download and process
Upload directory: The path on the server that Koha will upload files to for your vendor to process
Qualifier: Who assigned the SAN below?

Before you begin ordering using EDI you will want to take the following steps:
Ask your vendor/bookseller/jobber for connection information
It might also be beneficial to ask for a few sample EDIFACT files from the vendor
Share with your vendor/bookseller/jobber your library codes, item type codes, fund codes, and any other codes or authorized values they might need for creating your MARC order records
Communicate with your support provider or the community about whether you will need a plugin based on your vendor’s answers

EDI ordering
The first step in ordering using EDI happens on the book vendor’s website. Each seller will use different language, but you will need to place your order on their site and then download the MARC order file. Some language that you might see included “basket”, “order”, “cart”, and/or “MARC order.” Once you have this MARC file downloaded to your computer you will want to log in to Koha and continue the process there.
Visit the Importação de registos bibliográficos tool and upload your file. Once presented with the confirmation screen proceed to Acquisitions.
In Acquisitions create a basket for the vendor you ordered from. From the basket, choose to order from a staged file and click ‘Order’ next to the file you downloaded from your vendor and staged in Koha.
From the confirmation screen you will see all of the data in the MARC file related to your order. If you are not seeing fields such as fund and quantity filled in then be sure to confirm that your MarcFieldsToOrder preference is set right.
Once you have added all of the items to the basket you can click the ‘Create EDIFACT order’ button.
EDIFACT order
This will generate a pending file in the EDIFACT messages in Koha. The pending files will be processed by the EDI cron job and sent to your vendor.
EDI invoicing
When the book vendor is done processing your files they will send an invoice via EDI as well. The EDI cron job will grab invoices and mark items found in the invoice as received and update your funds without any need for manual intervention.
